Educademy Terms and Conditions

Please read these Terms and Conditions carefully before using our website. You agree to be bound by these upon interacting with our website.

As a Consumer or Business ordering any Goods from Educademy, these conditions apply, together with the Educademy Terms and Conditions of Sale (available at https://www.educademy.co.uk/policies/educademy-terms-and-conditions-of-sale).

These terms and conditions set out the terms and conditions agreed between you (‘’You, ‘’Your’’) and Educademy Ltd. (‘’we’’, ‘’our’’, ‘’us’’) in relation to the registration and attendance of the child (or children) (‘’participant’’) whom you have registered for an Educademy Activity Club (Activity Club) or Educademy Holiday Club (Holiday Club) or Educademy Online Camps, Courses and Classes (Online Lessons). All participant information must be completed in full and must be correct at the time of registration. It is your responsibility to ensure that We have a contact number for you (or the participant’s parent or guardian if this is not you) in case of an emergency at any time during the Activity Club, Holiday Club or Online Lessons. If You are not the participant’s parent or guardian, You confirm that You have made such parent or guardian fully aware of this registration and these terms and conditions (and that they have agreed to them in full).

  1. Booking and payment

    1. All bookings and payments must be made in full through our website www.educademy.co.uk or by phone and will be confirmed by email.

    2. All the times shown on our website are London local time

    3. Depending on the product, we may collect a single upfront payment or we may set up a recurring payment (refer to the product page for details)

    4. Educademy Ltd does not accept payment by voucher, cash or cheque.

    5. Educademy Ltd allocates children to places on a first come, first served basis. In particular, if a trial is offered, taking part in it does not guarantee a place in the actual club or course.

    6. The number of places available per club or course is limited - we apologise in advance for those we have to turn away after the club or course is full.

    7. Customers can register on a waiting list if the club or course is full. If a place becomes available the parent/guardian of the first child on the waiting list will be contacted and offered the available place. The place will be reserved for that child for one day only. If there has been no communication from the parent/guardian, the available place will be offered to the second child on the waiting list and so on.

    8. Educademy will not accept direct requests from customers regarding free/subsidised places for children in receipt of Free School Meals or Pupil Premium. 

    9. Payment confirms your acceptance of our terms and conditions. The named person on the booking confirmation accepts the terms and conditions on behalf of all on the booking form. 

  2. Cancelling your booking

    1. To cancel your child’s place and receive a full refund you must inform us by email at least 14 days before the start date of the club (7 days before the date of the online lesson).

    2. If you give us less than 14 days’ notice before the start date of the club (7 days’ notice before the date of the online lesson) we regret that no refund is available. 

    3. Missed sessions (also known as “no show”) cannot be refunded. 

  3. Venue cancellation

    1. The Activity Clubs, run by Educademy, should not be relied on as childcare as, if the staff member running the club is absent from work for any reason on the day of the club, the club may need to be cancelled at short notice if another staff member is unable to step in to cover.

    2. In exceptional circumstances, we may have to cancel particular dates/venues.

    3. In this event, we will notify parents/guardians of children booked onto the activity or holiday club as soon as possible. We will always try to offer a suitable alternative if one is available, or offer a full refund of that event or a credit towards other Educademy Ltd clubs, courses or other products.

  4. [Online Lessons only] Technical requirements for Online Lessons

    1. Requirements for each online camp or course can be found at the bottom of the product page, in the FAQs section.

    2. Educademy cannot take responsibility if during the online lesson it is found that the minimum system requirements or the internet speeds are not met for the camp or course booked.

    3. When a online camp or a online course has been purchased and paid for, installation instructions will be emailed to you. This will include links of where the software can be downloaded, instructions on how to download, install and test that the software has been installed correctly.

    4. Educademy cannot take responsibility if during the online camp or course it is found that software has not been installed correctly or not installed at all

  5. [Online Lessons only] For effective delivery of Online Camps, Courses and Classes, you are consenting to the following:

    1. Educademy has remote access to the computer

    2. If a webcam is in use, then your child’s video image to be shared with the tutor and the group. 

    3. Educademy tutor to mute communication from a child with the rest of the group if a child’s behaviour is deemed disruptive or unacceptable

    4. Use of 3rd party software to deploy the online camps, courses and classes to your children’s computer screens and view your children’s computer screens to monitor progress and offer assistance.

    5. Educademy is not responsible for 3rd party software issues.

    6. All sessions will be recorded for safeguarding and quality control purposes. This will be stored securely according to GDPR rules and regulations and kept for at least one week after the completion of the online camp or course.

    7. Educademy to publish camp and course participants’ achievements in an anonymised way

  6. Available dates and activities

    1. All the information in our literature is correct to the best of our knowledge at the time of publishing/printing.

    2. Changes may occur and if so, Educademy Ltd will inform parents/guardians via email/text and/or telephone as soon as possible.

    3. Not every activity stated or pictured is available at every venue and every date.

    4. Activity programmes are subject to change at the discretion of Educademy Ltd

  7. Activity Club and Holiday Club pickup

    1. All children must be collected by the scheduled finishing time of the activity club booked. 

    2. All children must be signed out by an adult over 16 who is named on that child’s registration form. 

    3. If for any reason you are unable to collect your child by the scheduled finishing time, we ask that you call Educademy Ltd (01256674247) as soon as possible.

    4. If we have no contact from a parent/guardian half an hour after the scheduled finishing time, we will contact local Social Services to advise them we have an uncollected child.

    5. We reserve the right to charge the parents, who collect their children late for the additional time. The fee is calculated as £5 for every 5 minutes of the delay started.

    6. We reserve the right to refuse future bookings from parents who continually collect their child late.

  8. Collection personnel

    1. Only the parent/guardian and other named collectors on the enrolment form can collect the named child.

    2. If someone else is to collect the child, the parent/guardian should call and email the Educademy Ltd office as soon as possible with the details of the temporarily allocated collector i.e. full name and phone number. 

  9. Parental requirements

    1. We have a no sharing food policy due to possible allergies. We respectfully ask for nut products not to be given to the children to take to the club.

  10. Health policy

    1. Educademy Ltd requires that all children who are ill or infectious are to be kept at home.

    2. Parents have to inform Educademy Ltd about any ongoing health problems and agree with us the appropriate approach, shall the emergency arise.

  11. Photography and video

    1. We occasionally take photographs/videos of children for promotional materials. Please inform us by email (enquiries@educademy.co.uk) if you do not want your child to be included in this.

    2. Only Educademy Ltd representatives can take photos during the activity club session.

  12. Mobile phones and electronic devices

    1. All electronic devices (e.g. iPads, Nintendo DS, etc.) are prohibited at our activity and holiday clubs.

    2. If you wish for your child to carry a mobile phone and they are seen using it inappropriately, the instructor will confiscate it until the end of that session.

    3. Educademy Ltd will not take any responsibility for the damage or loss of any electronic devices that are brought into the club.

  13. Lost property

    1. Please ensure that children do not bring valuable toys and belongings when attending our clubs. Educademy cannot be held responsible if they go missing. We cannot guarantee the return of lost property, but will endeavour to return items on request which we are able to identify. Parents will be required to pay the cost of postage. Educademy will keep lost property for a period of four weeks only. If it is left unclaimed after this period has expired, Educademy will distribute the lost property to local charities. 

  14. Liability

    1. Educademy does not accept liability for personal injury or death of any participants unless directly caused by the proven negligence of the company or its servants. 

  15. Insurance

    1. All children in our care are covered by our Public Liability Insurance 

  16. Equal opportunities and child protection

    1. Educademy Ltd is an equal opportunities company and welcomes all children regardless of their gender, ability, race or religion.

    2. Each child attending the activity club is equal and entitled to equal access to opportunity.

    3. We operate a zero-tolerance policy on discrimination or bullying of any kind.

    4. Educademy Ltd has legal obligations in relation to Child Protection.

    5. As a caring organisation, any suggestion of child abuse or neglect will be investigated and reported to our regulator or other official agencies.

  17. Special needs

    1. It is our policy not to exclude any child due to specific needs wherever possible.

    2. The needs of each child vary so decisions are made on a case-by-case basis depending on the level of support each child requires to enable them to fully participate and enjoy the activities at any of our clubs.

    3. We request that parents of children with specific needs contact the Educademy Ltd office to discuss how we can best accommodate their child and consider whether any special arrangements need to be made. We are happy to accommodate the child on a trial basis and reserve the right to review further bookings.

  18. Child exclusion

    1. On rare occasions, if a child proves incompatible with the general well-being of activity clubs (e.g. they are involved in bullying or are engaged in disruptive or aggressive behaviour) we reserve the right to exclude them. Please only enrol children who will agree to our behaviour and respect policies to eliminate this possibility.

    2. No refund will be made for any remaining activity club sessions booked.

  19. Data protection

    1. We will use your details to contact you via email, mail or text with important information about your booking and/or future information about our services.

    2. You may opt out of our mailing list at any time after the enrollment stage. If you do not wish to receive any offers, you may opt out of this at any stage after the enrolment stage.

  20. Parent feedback

    1. We aim to provide the best possible care for all children at all times.

    2. Please tell other parents if you are happy with your experiences of Educademy Ltd.

    3. If you have concerns or suggestions, please tell us. We value your feedback and use it to develop and improve our services.

    4. Concerns should be raised initially with the instructor during or right after the session to try to resolve the concerns immediately.

  21. Issues/concerns

    1. The relevant manager at the Educademy Ltd office will be advised and also attempt to resolve the issue/concern to your satisfaction.

    2. You agree to notify us of any concerns within 48 hours of any session.

  22. Health & Safety

    1. You acknowledge some projects contain detachable batteries. You are confirming that you are aware of and understand the health and safety implications of batteries, especially around small children.

    2. All projects are constructed by the children, the quality of the finished products will therefore vary. It is possible that parts will become detached.

  23. Age ranges of Clubs

    1. Our clubs are designed with a specific age range in mind.

    2. When booking onto a club you are accepting that the educational levels and needs of the children in one group can differ significantly and the outcomes will also vary.

  24. Global Use of our Website

    1. Information which Educademy Ltd publishes on the World Wide Web may contain references to products and services that are not available in your country.

  25. Law, Jurisdiction and Language

    1. This website, any content contained herein and any contract brought into being as a result of usage of this website are governed by and construed in accordance with English Law. The parties to any such contract agree to submit to the exclusive jurisdiction of the courts of England and Wales. All contracts are concluded in English.

    2. Any contract entered into with Educademy Ltd by any means is governed by and construed in accordance with English Law. The parties to any such contract agree to submit to the exclusive jurisdiction of the courts of England and Wales. All contracts are concluded in English.
